ACVH INSTRUCTIONS - HOW TO USE THE HALL

 

For your own safety + enjoyment please read these instructions on how to use ACVH

1. ON ARRIVAL CHECK THAT THE PREVIOUS USER HAS LEFT THE FACILITIES IN A GOOD STATE

SAFEGUARDING underpins all of our policies at ACVH. Please read our policies and implement them fully.

ACCESSIBILITY Trustees work hard to make sure that the ACVH is fully accessible

Access to the building, patio and gazebo is accessible via level, non-slip surfaces, without steps or inclines

PARKING We have one dedicated disabled parking space.

Internal doors are sufficiently wide to accommodate wheelchairs however some fire doors are heavy.

X1 accessible universal toilet

SIGNAGE inc. both words + pictures to aid understanding. Signs use large font for sight impaired users

KITCHEN has access for wheelchair users however the kitchen was not designed for disabled users. We currently have no adapted kitchen aids

HEARING LOOP Our induction hearing loop is fitted in the main hall.

CAR PARKING Please park responsibly and respect our neighbours

HALL CAPACITY 70 persons with tables and 90 persons without tables

GAINING ENTRY TO THE BUILDING You will be given a four-digit number to open the key safe which is to the left of the door to the Main Hall. A nominated Trustee will give you the number, provided that you have completed and signed the booking form.  We may request a £100 surety. 

 

THE KEY SAFE

1. OPEN pull forward rubber cover to reveal keypad and press down CLEAR
2. Enter 4-digit code firmly
3. Press and slide down OPEN button at top

4. Open both locks and return the key immediately

5. CLOSE press and slide down CLEAR
6. re-enter 4-digit code
7. Press and slide down OPEN button
8. Replace the key

And close the safe while you are in the Hall.

FIRE PRECAUTIONS

A strict NO SMOKING policy applies at all times to the whole of the building

FIRE EXITS The front door is the main fire exit and should remain unlocked throughout your event

FIRE EXTINGUISHERS kitchen area, bar, corridoor

FIRE EXIT signs are illuminated at all times

FIRE EXTINGUISHERS/BLANKETS You must only use these on small localised fires and if you are trained to do so

If there is any outbreak of fire you must call the Fire Service 999 and ASSEMBLE IN THE CAR PARK

You must point out the Emergency Exits to your guests. Fire Exit doors must be kept clear of obstruction at all times. In an emergency push HARD on the bars of the Emergency Exit doors. Fire doors in and out of the kitchen area must be closed in an emergency/when you leave the building.

ESSENTIAL ELECTRICS

LIGHTING MAIN HALL On the wall by the cupboard, RHS of projector screen,

CORRIDORS, TOILETS + STORE ROOM are automatic

IMMERSION HEATER You will have use of what is in the boiler or make sure that it is turned on

HEATING we have a HIVE system and the thermostat is at the bar. You can press the tick to put the heating on

THE KITCHEN

COOKER Please remember to turn it off

FRIDGE FREEZER Please clear your produce at the end of your event

KETTLES Please empty + unplug at the end of your event

DISHWASHER Please run a cycle and empty

KITCHEN UTENSILS, CUTLERY, CROCKERY. GLASSWARE Please wash up and put away

FIRST AID

ACCIDENT call an ambulance 999 (Ashford Carbonell Village Hall, Main Street, Ashford Carbonell, Ludlow. SY8 4DB)

FIRST AID BOXES are found in the kitchen + bar

MINOR ISSUES Please tell us if you use first aid items so that we can replenish them

MAJOR ISSUES complete an INCIDENT FORM (Front desk in Foyer)

MEDICAL/ACCIDENT/INCIDENTS If completing an Incident Form please inform a Trustee/Committee member

EMERGENCY LEAK

The stop cock is xxx and turn it off. Phone your emergency contact

 

REPORTING TO US

To improve our offer we would love your feedback – please pop your views into our 'Have your say box'

 

You must report ANY problems

 

LEAVE THE ACVH TIDY + AS YOU FOUND IT

 

Give time for tidying + leave things as you found them

Turn off all lights, heaters, appliances

Return chairs + tables to where you found them

Do not damage floor - Lift furniture/use chair trolleys

Table legs = fold and stack on their side in the walk-in cupboard

VACUUM/DUSTPANS AND BRUSHES can be found in the store cupboard

BROOM Sweep up crumbs

MOP Spills must be mopped

KITCHEN 

Kitchen cleaning liquids, washing-up liquid, scourers, dish-cloths, can be found under the sink

1. Clean work surfaces and mop the floor

2. Leave the cooker clean

3. Empty the dishwasher

4. Return crockery and cutlery

 

RUBBISH – DO NOT LEAVE RUBBISH IN THE BUILDING

PLEASE BE ENVIRONMENTALLY SOUND WITH WASTE

BINS are in the kitchen  + Large bins outside by the entrance

LANDFILL OR RECYCLABLE? Our bins are clearly labelled so please sort responsibly

LEFT ITEMS

ITEMS belonging to the hirer must be removed from the hall

Items belonging to ACVH should not be removed

Without prior arrangement, left items will become the property of ACVH

  • Fire safety + exits

  • Toilets (request to keep clean)

  • Tables + chairs

  • Instruct to leave hall as found (clean and tidy)

  • Return key reminder

END OF EVENT INSTRUCTIONS

  • Check hall is clean

  • Kitchen bins are emptied

  • Toilets are free of litter

  • Field gate locked

  • Lights, cooker, electrics turned off

  • Heating returned to schedule
